Accounts Payable Specialist

What You’ll Do

The Accounts Payable Specialist is responsible for managing the Accounts Payable (AP) process in a detailed and organized manner. This process includes the entry of invoices and their corresponding payments, responding to vendor inquiries, reconciling vendor accounts, creating/managing new vendor accounts, and preparing reports to management. This position will also assist in the monthly reconciliation of financial statements as needed, and provide support in the preparation of yearly 1099’s.

    • Property Invoices
    • Corporate Invoices
    • Check Requests
    • Monthly Recurring Invoices
  • Monitor Accounts Payable Inbox for vendor requests, invoices, etc.
  • Issue vendor checks
    • obtain all necessary signatures for checks and distribute/mail checks accordingly
  • Process outgoing wire and ACH activity
    • US Bank Website entries
    • Yardi entries
  • Vendor Set-Up/Maintenance
    • Obtain and verify proper documentation (W-9/COI)
    • Update as necessary (Address changes, COI updates/expirations, etc.)
    • Monthly vendor review (Review for possible duplicate accounts)
  • Assist with External Property Managers invoice processing training
    • Participate in on-boarding of new property managers via webinar
    • Answer follow-up and ongoing questions as necessary
    • Monitor batches for accuracy
  • 1099 Processing
    • Review/Prepare vendor accounts for accuracy of reporting
    • Assist with Issuance of 1099 documents to vendors prior to January 31 each year
  • Maintain files and documentation thoroughly and accurately, in accordance with company policy, SOX guidelines, and accepted accounting practices
  • Assist with other projects as needed
  • Support for and Adherence to DOC’s Corporate Compliance Policies and Procedures
  • Attendance is an essential function of the job

What You’ll Need

  • High School Diploma required; Associate degree preferred
  • 2+ Years Accounts Payable experience
  • Proficient in Microsoft Business Applications (Outlook, Word, or Excel)
  • Ability to communicate effectively verbally and in writing
  • Ability to interact with employees, tenants and vendors in a professional manner
  • Ability to work independently and with a team in a fast-paced and high volume environment with emphasis on accuracy and timeliness
